The standard house rules every event runs on. Nothing unusual, all there to keep your night smooth and the space protected. The full rental agreement is shared once you book.
A deposit reserves your date exclusively. The remaining balance is due no later than 4 days before your event. Deposits are non-refundable unless you cancel in writing at least 14 days out. If we ever have to cancel for something outside our control, you get a full refund.
Clients arrange licensed security. Events over 75 guests typically need 2 or more guards, and security is mandatory any time alcohol is served, this one is non-negotiable. Fees are separate from the rental.
We're a venue without a bar, so we don't sell or supply alcohol. To serve it you'll need a Special Occasion Permit (SOP) from the AGCO, submitted to us 4 days ahead. No service to anyone under 19, and the event can't start without a valid permit in hand.
Music steps down 20% at 3:00 AM and cuts off at 4:00 AM. We're in a mixed commercial and residential pocket, so outdoor sound has legal limits. We hang sound blankets to soften the leak, but if a noise complaint comes in, the volume gets adjusted.
With prior approval you can run past your end time at $250 per extra 15 minutes, or $1,000 per hour. Easiest to flag during planning so the whole night is built around it.
Under AGCO private-event rules, a guest list is kept at the door and only listed guests get in. Posted occupancy limits can't be exceeded, it's on the renter to keep the headcount in check.
Return the space to the condition you got it in, clear all decor and trash by the end of your rental window. A large amount of garbage adds an $80 disposal fee, and anything left behind is removed at cost.
The cyclorama is a seamless white wall and it's expensive. Nobody stands on the cyc. We rope it off with a stanchion to protect it, and any damage results in a contractor repair fee based on the extent.
Only push-pins and drafting tape for affixing decor. Nothing hung from light fixtures, nothing nailed or screwed to the trees. All decorations get a quick pre-approval, and everything comes down clean after the last guest leaves.
Three designated lots: 98 Montcalm (main), 80 Montcalm (secondary), and the Rona lot at 1300 Castlefield. There are homes nearby, so cars stay in the assigned lots and street parking stays respectful.
